Build a clear report from your materials

In a five-minute check-in, how do you structure slides so decisions and risks stand out?

TAKE AWAYA three-slide report outline, source links for each slide, and three anticipated manager questions.

Pasting raw notes onto slides overwhelms listeners, while generic slogans hide what is blocked. A clear report is organized around the listener’s decisions: what is ready, what is at risk, and what needs approval.

DIAGRAM · THREE-SLIDE DECISION DECK BLUEPRINT

For decision-makers: structure into Settled Facts, Open Risks, and Decisions Needed

Lead with status, gaps, and decisions needed—every claim linked to Material A/B/C, with fluff cut.

SLIDE 01 · SETTLEDSchedule & Venue Locked• Nov 6 14:00–16:00 3F [Source A]• Projector ready [C] · Due Nov 3• Agenda (Lin) & List (Zhou) setSLIDE 02 · OPEN RISKS4 Unresolved Gaps (Keep Visible)• CNY 2,000 is cap, spend TBD [B]• Catering & remote unconfirmed [C]• Photography owner & due missingSLIDE 03 · DECISIONSDecisions Needed from Lead1. Approve budget for catering?2. Assign photography owner?✕ Cut: unbacked “Industry Trends” fluff
SLIDE 1 · SETTLED STATUS [A/C]

Nov 6 14:00–16:00 · 3F Room · Projector Confirmed

Agenda (Lin, Nov 2) and list (Zhou, Nov 3) assigned; signup closes Nov 3 18:00.

SLIDE 2 · OPEN RISKS & GAPS [B/C]

CNY 2,000 Cap Only · Catering, Remote & Photo Open

Keep the risk slide intact—hiding open gaps causes execution failures.

SLIDE 3 · DECISIONS NEEDED (CUT FLUFF)

Decide: Approve Catering Spend? Assign Photo? Cut Trend Fluff

Delete generic industry trend slides and focus on concrete owner decisions.

The method: three small steps

A three-slide update for a team lead works best when Slide 1 covers settled arrangements, Slide 2 surfaces open risks and missing details, and Slide 3 lists decisions needed within the CNY 2,000 budget cap. Every point remains traceable to source material.

  1. Order slides by the decisions your audience must make

Managers ask: “Are we on track, what is missing, and what do you need me to approve?” Ordering by Status → Risks/Gaps → Decisions beats a chronological transcript.

  2. Anchor every bullet in source evidence

Tag bullets with their sources (A/B/C) so “target 20” and “budget cap CNY 2,000” never mutate into “20 registered” or “CNY 2,000 spent” when shortened into slide titles.

  3. Cut filler, keep risks, and prepare for tough questions

When short on time, cut generic slogan slides—never the slide listing missing signup links or unconfirmed remote equipment. Anticipate the three sharpest questions your lead will ask.

Prepared example: turn a chronological log into a decision-oriented outline

The requests and responses are prepared teaching examples, not live model output.

Source A · Event notice

The team exchange event is scheduled for November 6, 14:00–16:00, in the third-floor meeting room. Sign up by November 3, 18:00. The target is 20 attendees; actual registrations have not yet been counted. No registration method, link, or event contact is provided.

Source B · Budget and equipment

The budget cap is CNY 2,000. No actual spending has been recorded. A projector is available in the meeting room.

Source C · Preparation notes

Catering and remote access are unconfirmed. Lin will organize the agenda before November 2; Zhou will confirm the attendee list before November 3. The photography owner and deadline remain unconfirmed.

The request

Turn our meeting notes and notice into a presentation outline.

Example response

Slide 1: Pursuing Excellence Together; Slide 2: Facilitator remarks; Slide 3: Lin and Zhou remarks; Slide 4: Thank you.

What to noticeThis is a prepared problem example. Bookended by filler slides, the middle merely replays who spoke when, leaving required decisions buried.

Your turn: what would you ask next?
Your update slot shrinks from 10 minutes to 3. What should you cut first?

Try another deck: knowledge-base pilot update

Copy the material and task into your usual tool to practice. Then review your work against the checks.

Material

Fictional notes: internal pilot starts December 9 (decided); Xu checks entry page by Dec 4, Chen organizes feedback by Dec 5 (assigned); external pilot and training owner undecided; 3 of 10 feedback forms report slow search.

Task

Draft a three-slide outline (Settled / Risks & Gaps / Decisions Needed) for the department lead, plus one anticipated question.

Review your work

  • Slide 1 covers the Dec 9 launch and Xu/Chen’s assigned tasks.
  • Slide 2 surfaces the 3/10 slow-search feedback and the undecided external pilot and training owner.
  • Slide 3 asks the lead to decide on a training owner and search-performance follow-up.

Choose the report structure, evidence rule, and slide-trimming choice in the workspace below, then draft a three-slide outline and anticipated questions.

ONE IDEA TO KEEP

Structure reports around decisions: lead with grounded status, surface open risks and choices, and cut filler slides.

Try it in your own AI tool
  1. Open an AI chat tool you already have access to, start a new conversation, and paste the complete task sheet into its input box before sending. Use only the fictional text here; no work files, passwords, or personal details are needed.
  2. Check whether each slide title states a clear takeaway rather than a vague label like “Background” or “Update.”
  3. Verify that Slide 2 honestly lists the missing registration method, contact, catering, remote access, and photography owner.
  4. Save this three-slide skeleton to reuse for project check-ins and reviews.

Complete the checks above to record your progress. This records example practice; try a different task independently to test your skill.
