Prepare an email people can act on
What does a fluent email need before it can be sent?
A work email should quickly tell readers what is happening, why it matters to them, and what to do next. AI can help draft it and adjust the tone. You still need to check the facts, audience, links, and commitments.
A send-ready internal email: scannable action details and zero unbacked promises
Readers scan in 10 seconds: clear subject, three verified event facts, deadline action, and bounded unknowns.
Clear Subject + Nov 6 14:00–16:00 + 3F Room
Open directly with what, when, and where—no filler preamble.
Register by Nov 3, 18:00
Highlight the deadline clearly and state that the link/contact will follow.
Check Facts · Check Promises · Check Reader Clarity
Verify no budget/headcount distortion and no unconfirmed perks promised.
The method: three small steps
Secure the necessary information before polishing the wording. This example provides the event time, venue, and registration deadline, but not a registration method or contact. A useful draft lists those gaps separately: “please register” is not a usable registration instruction by itself. A budget cap and target attendance may be unnecessary for recipients and must not become actual spending or confirmed registrations.
Use the subject for the purpose and the body for action
Name the event and invitation purpose in the subject. Explain the time, venue, deadline, and registration method in the body. Mark the missing method for completion instead of supplying an invented link.
Check facts that are easy to distort
The event is November 6, 14:00–16:00; registration closes November 3 at 18:00. Keep those times distinct. Catering and remote access remain unconfirmed, and tentative wording must not become a commitment.
Make the final edit yourself
Remove unnecessary preamble and check whether the next action is easy to find. Ask the responsible person for the registration method and contact before the final pre-send review. Generating a draft does not mean an email has been sent.

Prepared example: make an invitation useful
The requests and responses are prepared teaching examples, not live model output.
Read the example sources
Source A · Event notice
The team exchange event is scheduled for November 6, 14:00–16:00, in the third-floor meeting room. Sign up by November 3, 18:00. The target is 20 attendees; actual registrations have not yet been counted. No registration method, link, or event contact is provided.
Source B · Budget and equipment
The budget cap is CNY 2,000. No actual spending has been recorded. A projector is available in the meeting room.
Source C · Preparation notes
Catering and remote access are unconfirmed. Lin will organize the agenda before November 2; Zhou will confirm the attendee list before November 3. The photography owner and deadline remain unconfirmed.
The request
Write an enthusiastic invitation using the event information.
Example response
Dear partners, an inspiring occasion full of ideas and connection awaits! We look forward to your enthusiastic participation in a memorable experience.
What to noticeThis is a prepared problem example. The enthusiastic tone does not tell readers when, where, or how to participate.
Your turn: what would you ask next?
Try it yourself with different material
Try another email: request project summaries
Copy the material and task into your usual tool to practice. Then review your work against the checks.
Material
Fictional material: each project lead should upload the current project summary to the team’s shared folder by December 8 at 17:00. Only PDF files are required; no paper copy is needed. The folder link has not been provided, and no other documents have been requested.
Task
Draft a short, friendly reminder, then shorten it once while preserving action details and flagging the missing link.
Review your work
- The audience, December 8, 17:00 deadline, and PDF requirement are clear.
- The folder link remains to be added; no URL is invented.
- The revision does not add paper copies or other document requirements.
Draft and check an email using the example materials so key details are clear and unknowns remain visible. This is a practice draft; the workspace does not send email, and prepared feedback does not replace your final review.
These materials describe a fictional event. No AI model is called. Selections are checked against explicit rules; you review your own writing against the sources.

Prepare a draft and identify what is still missing
The registration method and contact are missing. Mark them in the message or checklist and keep it as a draft; do not invent a link or treat the draft as ready to send.
Take your work with you
Drafts stay only on this page and are not restored after refreshing or leaving. Copy or download what you want to keep. Switching language does not delete your writing.
Check facts first, then whether readers can act, and finally the tone. Keep a draft unfinished when essential information is missing.
Try it in your own AI tool
- Open an AI chat tool you already have access to, start a new conversation, and paste the complete task sheet into its input box before sending. Use only the fictional text here; no work files, passwords, or personal details are needed.
- Check both sets of dates and times, the venue, and all claims about catering or remote access. Confirm that no registration link or contact has been invented.
- Remove one unnecessary phrase yourself, then ask AI to adjust the tone in one specific place. Recheck that all factual details remain unchanged.
- Save the checked result as a practice draft with information still to add. You do not need to send an email. Explaining what is missing and why the draft is not ready is part of the outcome.
Complete the checks above to record your progress. This records example practice; try a different task independently to test your skill.
