Turn meeting notes into action
After the meeting, is it clear who does what and by when?
Meeting notes often mix facts, suggestions, decisions, and tasks. Action minutes should help people move forward: preserve confirmed decisions, identify owners and deadlines, and separate what remains undecided.
Turn spoken notes into Settled Facts, Named Action Rows, and Open Gaps
Unassigned tasks like photography must stay “To Confirm”—never borrow another person’s name or deadline.
Prepare Agenda → Owner: Lin · Due: Before Nov 2
Matches transcript: “Lin: I will prepare the agenda before Nov 2.”
Confirm List → Owner: Zhou · Due: Before Nov 3
Note: Zhou confirms the list before Nov 3; registration closes Nov 3 18:00.
Photography → Owner: Unknown · Due: Unknown
Transcript states owner and deadline are undecided; keep both marked unknown.
The method: three small steps
“It would be good to have someone take photos” is a suggestion, not an assignment. “I will prepare the agenda before November 2” provides a task, owner, and deadline. A table may legitimately contain “to be confirmed.” Do not fill gaps by assigning the most vocal person or automatically using the event date as the deadline.
Identify what each statement does
Put settled times and venues under decisions, “should we?” under open discussion, and contextual commitments such as “I will” under actions. An action verb alone does not turn a suggestion into an assignment.
Extract the three action fields
Record the task, owner, and deadline, with supporting text. Lin prepares the agenda before November 2; Zhou confirms the list before November 3. Keep the list-confirmation deadline separate from the registration deadline of November 3 at 18:00.
Turn gaps into explicit questions
The photography owner and deadline are undecided, as are catering and remote access. Turn these gaps into follow-up questions for the relevant people. Producing minutes does not establish their agreement.

Source A · Event notice
The team exchange event is scheduled for November 6, 14:00–16:00, in the third-floor meeting room. Sign up by November 3, 18:00. The target is 20 attendees; actual registrations have not yet been counted. No registration method, link, or event contact is provided.
Source B · Budget and equipment
The budget cap is CNY 2,000. No actual spending has been recorded. A projector is available in the meeting room.
Source C · Preparation notes
Catering and remote access are unconfirmed. Lin will organize the agenda before November 2; Zhou will confirm the attendee list before November 3. The photography owner and deadline remain unconfirmed.
The request
Turn the event preparation meeting into action minutes.
Example response
Lin will prepare the agenda before November 2, and Zhou will confirm the list before November 3. Lin will also handle photography on November 6; catering and remote access are arranged.
What to noticeThis is a prepared incorrect record. The first two actions are supported; the rest invents an owner, deadline, and confirmed arrangements.
Your turn: what would you ask next?
Try it yourself with different material
Try another meeting: prepare a knowledge-base pilot
Copy the material and task into your usual tool to practice. Then review your work against the checks.
Material
Fictional weekly meeting: the knowledge base will begin an internal pilot on December 9. Xu: “I will check the entry page before December 4.” Chen: “I will organize existing feedback before December 5.” External testing was suggested but not agreed. Training was also suggested, with no owner or date assigned.
Task
Write decisions, an action table, and open questions separately. Preserve supporting statements for actions and flag missing information.
Review your work
- Only the December 9 internal pilot is marked decided; external testing is not described as approved.
- Xu is linked to the entry page before December 4; Chen to feedback before December 5.
- Training remains a suggestion with no owner or date, accompanied by follow-up questions.
Extract actions from the sample meeting notes, paying attention to owners, deadlines, and unknowns. This uses fixed material and rule-based feedback. It does not send assignments or mean that any work has been completed.

Turn notes into follow-up actions
Use source C. If an owner or deadline is not stated, choose “Unconfirmed”.

Separate decisions, actions, and open questions. When an owner or deadline is missing, the next step is to confirm it.
Try it in your own AI tool
- Open an AI chat tool you already have access to, start a new conversation, and paste the complete task sheet into its input box before sending. Use only the fictional text here; no work files, passwords, or personal details are needed.
- Check that Lin, the agenda, and “before November 2” are correctly linked, as are Zhou, the list, and “before November 3.” Then check that the photography owner and deadline remain unconfirmed.
- Check catering, remote access, and spending against the notes. If the minutes make a commitment for someone, identify the sentence and ask for it to move to open questions, then review the correction yourself.
- Save the action minutes. Then remove one speaker’s deadline and repeat the exercise. The new result should expose that gap instead of reusing the previous date.
Complete the checks above to record your progress. This records example practice; try a different task independently to test your skill.
